Out of School Time Program Manager

Reporting to the OST Program Director, this position provides on-site oversight and coordination of the Parks and Recreation Department's after school, summer and mini-camp programs, preschool, and similar children's events and programming. Performs related administrative tasks.   On a daily basis this position is hands on working in the department’s Out of School Time (OST) After School & Camp programs.Major Job Duties:
  • Provides on and off-site coordination of the Parks and Recreation Department's after school, summer and mini-camp and other OST programs.  Communicates with OST Program Director and other administrative staff on a daily basis to address any significant operational or programmatic issues that arise, including but not limited to those involving supervision of and safety of program participants.  Immediately reports any significant injuries or behavioral concerns.
  • Coordinates and oversees daily work performed by on-site OST employees, in consultation with the OST Program Director and other administrative staff.  Notifies OST Program Director of any significant staff-related issues, including but not limited to job performance and conduct concerns or any unusual staff needs or requests.
  • Coordinates and leads field trips and special events as needed.
  • Coordinates program schedules as needed and updates participant files and parent/child contact information.  
  • Acts as on-site point of contact for parents in the absence of the OST Program Director.  
  • Assists the OST Program Director with administrative materials such as daily logs, weekly attendance sheets, staff schedules, and staff leadership duty sheets.
  • Along with the OST Program Director coordinates monthly billing processes; reconciles transactions. 
  • May coordinate and processes payroll for seasonal staff. 
  • Coordinates the planning and implementation of projects and activities for various programs throughout the year in consultation with the OST Director.
  • Helps coordinate assignments, scheduling, and training of OST staff. 
  • Coordinates meetings with program coordinator and program specialists on a routine basis developing work assignments and responsibilities.
  • Participates in the selection process, interviews, and onboarding of seasonal OST staff.
  • Completes new seasonal staff paperwork for Human Resources in coordination with the OST Program Director
