Administrative assistant to the Chief of Police

Part Time 24-28 hours per week

FLSA: Non-Exempt;  Pay range $20 - $28/hour.

The Town of New Durham, NH seeks a part-time, Administrative Assistant to the Police Chief to perform executive level administrative support duties in a highly confidential capacity within the office of the Chief of Police.  Accomplishes duties with a high degree of independence, exercising considerable judgement and tact in answering inquiries and determining correct courses of action while providing administrative support to the Senior Command Staff.

Accountability: Reports directly to and is accountable to the Chief of Police.

WHAT YOU’LL DO: (below is a summary, please see job description for full details.)
Prepares and maintains accurate financial documentation, (for example: A/R, A/P, petty cash, check requests, deposits, and monthly reconciliations for general and asset forfeiture funds, etc.)
Ensures purchase requisitions are generated prior to the procurement of equipment, maintenance, training, or service and in accordance with Town and Department policies.
Researches and resolves discrepancies on invoices prior to submitting for payment.
Assists in budget preparation.
Initiates and utilizes tracking systems for various departmental procedures, i.e., performance evaluations, academic reimbursements, grant submission, uniform allowances, incentive payments, etc.
Prepares and posts promotional exam opportunities and specialized assignments. Schedules interviews and posts results.
Prepares and/or develops correspondence, permits and other documents related to daily administrative operations including personnel related forms, course registrations, monthly training reports, rollcall, raffle permits, seniority lists, group changes, etc. Coordinates training assignments and travel arrangements.

Experience in a business-related field or Associate degree and work experience that is commensurate.
A strong proficiency in the use of computer-based applications including word, power point, advanced excel, access, file and records management and related office management functions.
Ability to understand basic budget processes and accounting principles.
Self-motivated and proactive in resolving issues while working independently. Ability to make notification decisions in the absence of the Police Chief.
Ability to multi-task in a fast-paced work environment.
Excellent organizational and oral/written communication skills.
Experience in a customer-orientated municipal setting desired.
Experience as an administrator in a law enforcement setting preferred.
